As we have previously announced in the "Information of ECCS Cloud Emails", student users will no longer be able to use the email addresses of "user email@example.com" once the mail server is updated in August 2016. (Users who started to use ECCS in the current academic year, were not issued with email address of "user firstname.lastname@example.org". Academic and administrative staff users are still able to use the old address even after the updating. Please note that emails in the old system will be copied to the new system.) For the student users who wish to transfer their earlier email data received as "user email@example.com" to ECCS Cloud Email, please follow the instruction below.
1. Transfer data using imapsync.
This is described in the lower half of this page.
2. Using a mailer that can be used with the previous email server and the ECCS cloud email server
Set up both email servers (the previous email server and Gmail) to receive through the same IMAP available mailer in advance, and transfer the emails in the previous mail server using drag and drop. Mailers such as Thunderbird (Windows, OS X, Linux) or Apple Mail (OS X only) are examples of IMAP available mailers． As a specific example, transferring data using Thunderbird is shown in (ECCS Cloud Email)How to set a mailer (Thunderbird).
The process shown below, seems to be rejected with the following error message from cloud email server (6/20/2016)
Host2 failure: Error login on [imap.gmail.com] with user [XXXX@g.ecc.u-tokyo.ac.jp] auth [LOGIN]: 2 NO [ALERT] Please log in via your web browser: https ://support.google.com/mail/accounts/answer/78754 (Failure)
Please set that it can authenticate other than the password at the time you log in, using the manner for "Turn on 2-Step Verification" znd with regards to accessing using IMAP, by setting it to use a dedicated password as described in Signing in using App Passwords, you will be able to migrate in the following way. However, we are considering a way to migrate the data those who cannot use a 2-step verification. If you are not able to use a 2-step verification (such as those who do not have mobile phones), please wait for further information.
As shown in "How to use ECCS Cloud Email", you need to set a password which is exclusively for "ECCS Cloud Email" through the UTokyo Account User's Menu. (This password must be different from the password for UTokyo Account)
It will take about an hour for the changes to become available. (Update takes effect on the hour, every hour)
Please select ECCS Cloud Email from the side menu of the ECCS system page and make sure that you can log in.
Login to MailSuite from the side menu of ECCS system page. Select "Option" in the menu, and selecting "mail forwarding" For more information, please refer to the online help on you log in to MailSuite.
Note: If you had set forwarding email from ECCS Cloud Email to the previous email server, please cancel this setting in advance.
You need to access the email server using the protocol called IMAP for copying emails. To enable IMAP, follow "Step 1" in "Set up Gmail with Outlook, Apple Mail, or other mail clients".
From now on, we will introduce that how to use the imapsync when copying data from previous email server to the Cloud Email server. imapsync has already been installed on the ECCS ssh server, so you can use imapsync by connecting to the ssh servers described in "Using ECCS From Off-campus"
You will need to register a public key in advance to connect to the ssh server. Please refer to Using ECCS from the outside for more information.
Starting up imapsync takes time so in order not to close even if the ssh connection is interrupted, the GUN screen is activated. Please run the "screen" after you login using ssh.
imapsync --host1 mail.ecc.u-tokyo.ac.jp --port1 993 --ssl1 --user1 [user name for the previous email server] -host2 imap.gmail.com --port2 993 --ssl2 --authmech2 PLAIN --user2 [user name for the cloud email server]Please replace the user name as following.
What's the password for [user name for the previous email server]@firstname.lastname@example.org? (not visible while you type, then enter RETURN)Please enter the password of the previous email server (same password as UTokyo Account) here. Then the following message will appeare.
What's the password for [user name for the cloud email server]@email@example.com? (not visible while you type, then enter RETURN).Usually the password for logging in to the cloud email web interface should be entered here. If you set to use a different password (application password) when you connect with IMAP, please enter the password which is required to connect with IMAP. If the password is correct,
Host1: success login on [mail.ecc.u-tokyo.ac.jp] with user [ktXXXX@mail.ecc.u-tokyo.ac.jp] auth [LOGIN] ... Host2: success login on [imap.gmail.com] with user [ktXXXX@g.ecc.u-tokyo.ac.jp] auth [LOGIN]The system will start copying the messages after the above message was displayed. If the load on the servers is not heavy, then one message will be copied at a pace of one message/second. The copying process will take a long time. Therefore, please log out of the ssh having used the "detach" function of GNU Screen in advance (the standard key assignment is C- [a] [d]). (The system will automatically “detach” itself after a time.) To see the progress after you detach, please log in to the same ssh server and start the
screen-rand resume the session. If imapsync has finished, please exit the screen with
"exit"and please log out with
"exit"It is better to give yourselves a little extra time running the imapsync until the reboot time if you have a lot of emails to copy.
If you don't need to access cloud email by any mail client such as Apple Mail or Outlook, we recommend that you access "Forwarding and POP/IMAP"and invalidate IMAP according to "Step 1" in the "Set up Gmail with Outlook, Apple Mail, or other mail clients".
