How to retrieve data on the ITC-LMS

Introduction

The current ITC-LMS will cease operating at the end of February 2024, and the new UTokyo LMS (UTOL) will begin operating in March 2024.

Data created in the Academic Year (AY) 2019 or later and stored on ITC-LMS will be transferred to UTOL. However, all data created before AY2018 will be deleted once the ITC-LMS service stops (9:00 am on Friday, February 23, 2024 (national holiday))

This announcement explains how instructors in charge of a course can retrieve data stored on the ITC-LMS based on the year the relevant course was registered.

Note: "FAQ (Frequently Asked Questions)" has been added. (December 27, 2023)

Academic Year 2013 and earlier

There are no data on the ITC-LMS for courses registered before AY2013.

Academic Year 2014

Data for courses registered in AY2014 exist, but there is no way for users to acquire this data from the ITC-LMS by themselves.

If you need data such as course material files, etc., registered for a course in AY2014, please contact the ITC-LMS Team, Information Technology Center with information such as the course title (usually the subject title), the organization (faculty or graduate school), and the semester, etc. As it will take time to obtain the data, please get in touch with us during January 2024.

Academic Year 2015 - 2018

Download individually

Courses registered in AY2015-AY2018 can be referred to using the "Search Course" function. First, click on the menu icon (see Fig.1) in the top left-hand corner of the screen that appears after logging in to the ITC-LMS.

Select "Search Course" from the menu displayed (Fig. 2).

When the "Search Course" screen appears, search for the course you need by specifying free words or other criteria such as Academic Year, Day and Period, etc.

When you find the course you are looking for in the Course List, click on the "Course Title" to go to the top page of the relevant course. Download the necessary data, such as course materials and assignments prepared by the instructor and reports submitted by students.

Importing from other courses (copying to other courses)

If instructors plan to copy and use content such as course materials, assignments, quizzes, questionnaires, and notices, in such cases, importing (copying to other courses) from courses created in AY2019 or later is relatively easy. However, please be careful to set the release period of the copied contents so that students taking the course to which the data was imported to cannot refer to them. If there are no appropriate courses to import to, it is possible to create a course to import the data into. If you wish to create a new course, please submit a request form for creating courses (forms.office.com). (To submit a request form, you must be logged into your UTokyo Account).

Click on the menu icon in the top left corner of the course TOP screen of the course you wish to import into. A menu of course operations will appear (Figure 3) and select "Course Content" > "Import past contents".

When the screen for import shown in Fig. 4 appears, press the "Search Course" button.

When the course search screen in Fig. 5 appears, check "Course in charge" and (1) search for the required course, specifying the appropriate free word, Academic Year, Day, Period, etc. If you find the course you are looking for in the Course list, check the radio button (2) to the left of the "Course Title" and then click the "Specify" button (3).

When the screen switches to the screen for selecting contents that can be imported, as shown in Fig. 6, select the necessary contents and click the "Confirm" button. The contents have not yet been imported at this stage. Click the "Register" button on the confirmation screen (Fig. 7) to perform the import.

Academic Year 2019 and later

Data for courses registered in AY2019 and later will be transferred to UTOL. It can also be downloaded individually, in the same way as the data for "AY2015-AY2018".

Attention

Data submitted by students on the ITC-LMS, such as reports on assignments and answers to tests, cannot be imported into other courses. If you need the data submitted by students for courses in AY2018 or earlier, please download them individually. Please note that portfolios and LTI data created in AY2019 or later will also be deleted.
